What is an event film?
Event films document an event and are thus part of live communication. Event films can accompany, for example, trade fairs, congresses, in-house exhibitions, roadshows, anniversaries, open days or team-building activities.
By the way, event film and event video are used synonymously. As always in video marketing, the same applies here: a “video” is often associated with lower quality and budget, which is why, as a film production, we favour the more professional term “event film”.
An event film is usually 1–5 minutes long (live recordings up to 120 minutes, or as long as the event lasts). An event film is usually carried by music but can also be supplemented by a professional voiceover artist and/or personal soundbites from participants.
As a rule, an event film is retrospective, i.e. the documentation of the event, published afterwards. Films produced specifically for broadcast AT an event are usually a sub-form of the corporate film or product film.
What is the benefit of an event video?
The event video has the advantage that your event lives longer and achieves greater reach. After the actual event (offline on a specific date), the event film opens up a second, self-sufficient chain of use.
Event videos are suitable for following up events to increase reach. This way participants can be reactivated, and following up on leads and contacts is made easier. Prospects who couldn’t make it to the event in person also get an impression of it, so your message can be conveyed to more people.
At the same time, event films have the benefit that they can be used for acquisition and preparation for upcoming events. By sending a video of the past event along with the invitation, prospects can get an immediate impression. This increases registration numbers.
An event video should therefore always be planned into event planning and live communication. The rule of thumb: 10–15% of the event budget should be allocated to the video. In return, reach can be increased by more than 200% – with no time limit. Worth it, isn’t it?

For which events is an event film worthwhile?
Event films are worthwhile for any kind of event.
Event films are especially popular for company parties, anniversaries and employee events;
for trade fairs, roadshows, congresses and user boards;
and for training sessions, open days or company tours.
As a rule, the event film is a documentary edit of the event (a “best-of”). For expert talks, panel discussions and presentations, however, a 1:1 recording is worthwhile, e.g. in the form of a TED talk.
There are also event films produced specifically for broadcast at the event. This can be, for example, a sub-type of the corporate film or product film shown at the trade fair stand, or presented on the big screen at the anniversary.
Especially popular since coronavirus are live event videos (live streaming). Just like a football match, this event is broadcast live via a platform (e.g. YouTube, Facebook Live, Twitch or a Zoom video conference) to an open or closed audience. This requires completely different technology and know-how than classic event films, so you should factor in this option from the very start in your briefing.
Where can you use an event video?
The best place to use event videos is the internet. Event videos can be embedded on the event page or your own website. Additionally/alternatively, you can make the event video available on social media and/or video platforms such as YouTube and Vimeo.
It’s especially successful to include a link to the video in your email marketing, e.g. when following up on contacts. If you do press outreach, you can also include a link to the video and, for example, add it to brochures and print materials via a QR code.

Bear in mind that every event and every goal is different, so no two event films are alike. Should it be a dynamic best-of aftermovie with atmospheric music? Should participants and organisers give soundbites? Or should a complete discussion or talk be recorded? A good film production will help you answer these questions.
What event film costs should you expect?
The question of how much an event film costs unfortunately can’t be answered across the board. Every event film is tailored and produced individually to the specific event, company and goal.
To help you set a budget, we recommend, as a guideline, 10–15% of the event budget on top. That makes an event film cost on average €2,000 to €10,000.
The cost of an event film is made up, by the way, of pre-production (concept, script, storyboard), the shoot (fees for the film crew, equipment (watch out for live equipment!) and possibly a presenter) and post-production (editing, audio and possibly overlays).
Most film productions bill by the hour or by day rates. Flat rates and “fixed prices” are rather unusual and should be examined more closely.
